Reservation status

A reservation can be:

  - Confirmed
  - Option
  - Offer
  - Cancelled
  - Cancelled: No Show


You can set the status of a reservation while creating or modify it from the reservation detail. The status can also be updated by the customer himself in case he confirms or cancels his reservation via internet.

Depending on the reservation status the rooms may or may not be reserved. This naturally also affects your room availability. In case the reservation has been created on ZaK (and you have subsequently sent the guest a link to voucher and check in online) you guest can confirm the reservation by entering his/her credit card details, or cancel it.

A reservation can be:


1. Confirmed


The reservation is confirmed and the rooms are reserved. Consequently, the reservation will affect the rooms availability. (Usually the reservation is guaranteed by credit card).  In the reservation section, confirmed reservations are shown in green.


2. Option


These reservations are not fully guaranteed. A reservation in option has an expiration date that you can enter manually. Alternatively the system will assign an expiration date by default (the expected date of arrival).  Your guest, through the link to check-in online, can enter the credit card details to confirm the reservation (in this case the status will change from Option to Confirmed).

If the reservation remains unconfirmed by the expiration date, you can automatically switch to canceled status or remain in option status. You can configure these preferences on Zak: if you choose to mark it as cancelled, the customer will NOT be able to enter their credit card details anymore.
If you leave it in option (and the option has expired in the meantime), you will still allow your customer to enter their CC details. In both cases, when the option expires, the availability is released and the reservation is deleted from the Planner.

If your customer enters the CC data after the expiration of the reservation option, the reservation does not automatically become confirmed. You will receive a notification email in your Dashboard. In the Reservations section, those in option are shown in orange.

3. Offer


This status is used to make a quote. Rooms are not reserved: a reservation with the status "on offer" does not affect room availability and is therefore not visible in the planner. It has an expiration date.
Unlike the reservation in "option", if the customer enters the cc data, the reservation does NOT become confirmed but remains in offer status. You simply receive a notification that the cc has been entered.

As well as the option status you can decide whether or not to cancel the reservation after the offer expires. Accordingly, the customer may or may not enter credit card details. In the reservations section, those on offer are shown in orange.

If it remains on offer, your customer can still enter his credit card details, but if he does, the status does not change and availability is not updated. Reservations on offer (and also those on option) can be found on ZaK in the section Options and Offers.

4. Cancelled


The reservation has been cancelled and the rooms are not reserved: availability is therefore cleared. Through the link to the online check-in, the customer will NOT be able to enter his credit card details.

5. Cancelled No-show


If the customer does not show up, you can use this status to cancel the reservation but also to keep track that the customer did a "no show". These reservations also appear in red.


Reservations colors:

RED: Cancelled - No Show -

ORANGE: Option - Offer

GREEN:  Confirmed




! Reservations On offer, Cancelled and Cancelled - No show, are NOT shown in the planner.
