Zak - Reception

The Reception section allows you to easily identify the day's arrivals and departures and in-house guests. It also gives an overview of the main events. For example, how many offer/option reservations you have. Or how many overbookings or how many discontinuous stays have been detected.

↳ Useful Link: ZaK > Reservations > Reception

At the top, there is a sub-menu that allows you to easily filter your reservations according to arrivals, departures, in-house and rooms switch.
Alternatively, if you already know the name of the customer or the code of the reservation you are interested in, you can directly enter it in the box next to it.

For each reservation you will see the following data:

- dates of stay (30-31/08)

- guaranteed or not (red or green shield)

- number of nights (1)

- number of rooms booked (1)

- total number of guests of all rooms in the reservation (2)

- unpaid amount (173.49 EUR)

- any missing guest data (red icon with exclamation mark)

- physical rooms booked (DOP0)

To fill in missing guest data, you can click on the "Registration Page" icon

To check in and out quickly, you can click on the "Check-in/Out" icon

To see more details about the reservation, you can click on the three dots icon

Arrivals show reservations with check-in today. For example, Mario Rossi is arriving today, so he will appear with the yellow icon until I check him in. Please note that in order for check-in to be successful, all guests must be registered. If, for example, the reservation is for a double room, i.e. 2 people, both guests (not just 1) must be registered in the room.

Once you have checked in guests, the icon will turn grey, which means that you have already performed the action correctly:

Once the guests are checked in, they will be in the property, as Mario Rossi in the example:

The green icon indicates that the guest is in-house and check-in/out are not today. For example, today is August 31st, Rossi Mario checked in yesterday and will check out on September 1st. So today he is simply in the property.

Departures show reservations with check-out today. Snow John is departing today, so he appears with a red icon:

Once she has checked out correctly, the icon will turn grey, as it does for arrivals.

Rooms Switch

Reservations marked with the two red arrows icon indicate room changes. These are cases in which you have used the Split Room tool and, therefore, one or more guests will have to make a room change today.

For example, Rossi Mario stayed in the QUA1 room from 28/08 to 31/08. Today, which is the 31/08, he will have to change room and move to QUA2 room:

Finally, on the top left you will find an overview of all these data grouped by Reservations, Rooms and Guests. In the following example, today 1 out of 2 reservations checked in. 0 out of 2 rooms checked out. 1 out of 4 guests checked in:

As well as giving you an overview of arrivals and departures, this page also shows you the main events to look out for:
