ZaK - zCrm: Requests

In this section you will receive all requests from your potential customers, who write to you from the contact form on the Online Reception. And also from the Mini Site, if you use it. In addition, you will also find here the requests entered by you manually through the "NEW REQUEST" button.
The section can be reached via the following menu:

Requests list


You will immediately see the list of requests, with all the related information for each one:

  • : status of the request (: archived; : transformed into an estimate; : replied by email with no estimate; dash: not processed)
  • Estimate: number of the related quote (if created)
  • Origin: where the request came from (Online Reception, Mini Site or entered by you)
  • Customer: guest's name and surname
  • Request date: date in which the customer made the request
  • Stay dates: period requested by the customer for his stay
  •   : number of nights the customer has requested
  • Email: customer's address
  • Phone: customer's phone number
  • Note: if the customer has also entered a message, you will find a sheet icon. Hovering over it with the mouse will display the text of the note.
  • Email Sent: if you see a green dot it means that you sent an email to the customer
  • Actions: here you can perform multiple actions, i.e. turn the request into an estimate, reply without creating an estimate, delete or archive the request.


NOTE: You will receive an email notification each time a guest sends you a request from the Booking Engine (via the "Ask Us" button)

Filters


At the top you can filter your search by typing the customer's name. Or you can filter by request status (new requests, replied without estimate, estimated) or by origin (Online Reception, Mini Site, Myself)

If you click on "Advanced Search" you will find two more filters:
  • Request date between: date in which the request was made
  • Arrival date between: period requested for the stay
If instead you want to see Archived Reqeusts, you need to enable the specific button.

Actions


In the actions column, you have two possibilities for each request:

1. Create an Estimate


You can turn the request into an estimate by clicking on "Create Estimate":


You will then have to fill in all the steps to create an estimate, as explained in the following documentation:
Then you will have to choose the rooms, the price, any extras, etc. Once finished, you will see the icon and the number of the estimate:


2. Sending a message


Alternatively, you can simply reply to the customer's request without creating an estimate. Click on "Reply without Estimate":

You will see the window for customizing your reply. You can write the text manually or you can choose to use one of the templates already created at Settings > Templates. Select the language to send the reply and choose whether to send only the email to the customer. Or whether to send the email and also archive the request.
