Zak F.A.Q. - How to make a quote?

If you're using Zak Booking Engine, from the section below you can send your potential guests an email with a link to your Online Reception. In this way you can make a quote, even with pre-selected dates and rooms. Guests will be able to complete their reservation on their own:

☞ Docs: Zak - Estimates: send emails to your potential guests

Even if you're not using the Online Reception, ZaK allows you to make a quote anyway. It can affect availability or not. You'll find all your estimates in the section dedicated to option/offer reservations:

↳ Useful Link: ZaK > Reservations > Reception > Options and offers

1. Quote with affected availability: OPTIONS

First, you have to create in YouBook a new reservation with "option" status, also choosing an expiring date.
Once created, you can open it and send the customer the email for option reservation, from the "Messaging" box. This email will include the link to confirm the reservation.

Your customer will receive an email with the quote details and a link to the Online Check-In Page. Exactly, to the "Guarantee your Reservation" section, where he'll be able to confirm his reservation through one of the guarantee methods you configured:

What happens to option reservations?

  • If the guest guarantees BEFORE the expiry date, the reservation is automatically changed from Option to Confirmed status. You'll receive an email and find a warning in Dashboard-Deserving Attention.
  • If instead the option has already expired, the guest can no longer guarantee it. On the Online Check-in page, he'll see a message like this:

  • Once the option has expired, the reservation is NOT automatically cancelled. It is still in option status, but the availability is released and the reservation disappears from the Planner. If you want to cancel it, you need to do this manually. However, you will find a warning both in Home-Deserving Attention and in the Planner on the expiry day:

2. Quote with unaffected availability: OFFERS

First, you have to create in YouBook a new reservation with "offer" status, also choosing an expiring date. The availability will NOT be affected. Once created, you can open it and send the customer the email for offer reservation, from the "Messaging" box. This email will include all the quote details and the guest, if interested, can contact you to confirm the reservation.

What happens to offer reservations?

  • Offers can be guaranteed by the guest BEFORE the expiry date, but only if there is still availability for those dates/rooms.

  • If the guest guarantees it before the expiry date, the reservation does NOT become automatically confirmed. It is still in offer status. You'll receive an email and find a warning in Dashboard-Deserving Attention. You'll have to manually change the status to "Confirmed" or "Cancelled".
  • If the offer has already expired, the guest can no longer guarantee it. On the Online Check-in page, he'll see a message like this:

  • Once the offer has expired, the reservation is NOT automatically cancelled. It is still in offer status. If you want to cancel it, you need to do this manually. However, you will find a warning both in Home-Deserving Attention and in the Planner on the expiry day:
