Kylix - Tables Overview

The Overview section allows you to have a complete view of your tables, reservations, current services and much more. Moreover from here you have the possibility to add new reservations and take-away, edit orders, pay the bill, etc. The page can be reached from the following link:

First of all, here you can find all your tables divided by areas. By clicking the icon   on the top right, you can filter by area, by table tag, by occupied/free/reserved tables or by waiter.


1. Enter a new order


By clicking on the "New" button on each table, you can place a new order for that table. So if, for example, you have guests arriving without a reservation and you seat them, you can register them at the table in this way. You can also just register them and enter what they order later. It is therefore an "immediate" order, not a future reservation, because the customer has already arrived.



As you can see in the picture, by placing a new order you need to specify:

- the number of customers 

- the meal type, so breakfast, lunch or dinner

- any tables to be added in case one is not enough. In this case the tables selected will be as united:


- the list of foods they order, so you can choose which and how many appetizers they want, which first course, which second course, etc.

- in the "Order List" part, through the icons #1, #2, #3 etc, you can establish in which order the dishes should be prepared and served:


By clicking on the + or - symbols, you can increase or decrease the quantity of the selected meals. By clicking on the bin icon, you can remove them. By clicking for example on #2, I can add new dishes to that order at any time.


NOTE: By entering the order in this way, the service will be considered already started and you will find it indicated both in that table and in the list of services in progress. See point 4 for more details.


2. Enter a new reservation


On the other hand, if a customer calls you and reserves a table at a later date, you can register it by clicking on "BOOK A TABLE" at the top right:



As you see in the picture, you can specify:

- the date, hour and quantity of customers

- the area where they will eat

- the table(s) they will occupy (or if you do not choose tables, you can define them later)

- name and phone of the booker

- any notes with directions provided by the customer


Once entered the reservation, you will see a clock icon on that table, meaning that there is a reservation for that table. Next to it you will also find a number indicating how many reservations there are:


! ATTENTION: The clock appears only for reservations arriving from now to 3 hours. You will see all the others when there are 3 hours left to their arrival, or you will find them all in the list of reservations (see point 3).


3. List of reservations


You find the list of all reservations with future date/time in the specific section, which you can access by clicking on the right the icon .

By default all reservations for today are displayed, but at the top you can filter by day or you can search manually, writing for example the name of the customer. You can also filter by area, by table and by meal type:


By clicking on the icon  next to each reservation, you can delete or modify the reservation. 

Instead by clicking on the icon you state that the service has started, so it means that the customer has arrived and sat down at the table. So now it will be necessary to go and take his order. You can find the list of all the services in progress in the specific section (see point 4).


4. Lists of services in progress


Once a service begins, this will be indicated on the specific table. It shows the hour when the service started, the number of people sitting at the table and the booker's name. Also, a red line appears below the table, meaning that there is a service in progress.

If the green dollar icon is present, it means that the bill has already been fully paid. If the icon is orange, the bill has been partially paid. If the icon is not present, the bill has not yet been paid.



NOTE: If there is a service in progress it means that that table is occupied, so there can't be more than one service in progress at the same table.


To see more information about that service you can click on the "Detail" button on that table. Or you can find the list of all services in progress in the specific section, by clicking on the right the icon :


For each service the table is indicated, the number of people, the total cost and whether it has already been fully paid (green icon), partially paid (orange icon) or not paid (no icon). The +1 icon indicates that another table has been added to that table.

By clicking on the arrow, you can view all the details of the service:


In particular, for each service you can:

- end the service: if you close it means that the guest has finished eating, has already paid and has left

- edit the order: so add/remove food or modify other details

NOTE: if, however, the bill has already been paid (fully or partially), the order can no longer be modified.

- charge that order to a reservation: so the customer does not pay immediately, but you add that cost to an existing hotel reservation (e.g. if customers who are staying at your property eat at your restaurant)

5. Enter a new take away order


If, on the other hand, you receive a reservation for a takeaway, you must enter it by clicking on "TAKE-AWAY" at the top right, specifying name, phone, meal type and hour of pickup. In the "Food List" part, you can select from your menu the dishes ordered by the customer. Instead, on the right, in the "Order List", you can modify the quantities of the meals added or remove them:



6. List of take away orders


The take away is a service without a table, so you can't see it in the overview. You will see it only in the specific section (with all the other take-aways), which you can access by clicking on the right the icon :


For each take-away you see the booker name, the time of pick-up, the quantity of dishes ordered and whether they have already been paid.

Instead, by clicking on the arrow you can view all the details of the order:


In particular, for each order you can:

- end the service: if you close it, it means that the guest has already taken the food and paid for it

- edit the order: so add/remove food or modify other details (e.g. date or time)

NOTE: if the bill has already been paid (in full or in part), the order can no longer be modified.

- charge that order to a reservation: so the customer does not pay immediately, but you add that cost to an existing hotel reservation (e.g. if customers who are staying at your property order a takeaway)

7. Boards


In this section all in-house guests are shown, whose reservation has a board that is not "Room Only". So you can find reservations with breakfast, half board, full board or all inclusive.

NOTE: Also guests you have not marked as arrived are displayed here.

Here, if you want, you can already choose in which area of the restaurant to place these guests for their meals, you can also immediately assign them a table.

The section can be reached by clicking on the right the icon :



For each one you can see the reservation code, the board, the number of guests and the booker name.

By clicking on the arrow, you can make the actions mentioned above. Besides choosing the area and table, you can:

- choose whether to apply your choice only for today or for all days of the stay:


- choose whether to assign that table and area to all meals of the reservation:


- or assign a specific table and area for each meal of the reservation, e.g. breakfast is served in the Main Area at table T.1, while lunch is served in the Pool at table T.4:


Once the choice is confirmed, that reservation will disappear from this section and will move to the list of reservations (which we talked about at point 3).


Finally clicking on the three lines on the top right and then on "Kylix Mobile App", you'll see the link/QR code to access the app with which waiters can take orders from mobile. We'll talk about this in the dedicated article:
