ZaK - Configuración del Check-in Online

Using ZaK's messaging module, you can send your guests an email — automatically or manually — with a link asking them to fill in the information needed for online check-in before arriving at your property.


By clicking on the link, guests can fill in their details, but that's not all: this form also allows them to manage their reservation online.

From here, guests can also cancel their reservation, create a new one, leave feedback, add a note, specify their arrival time, add extras to their stay, view their voucher, and more.

If you wish to customize the online booking management page, you can do so from the following menu:

Here you have several options:

1. UPSELLING EXTRAS AND EXPERIENCES


Choose here whether the customer can view your extras in the online management form and add them to their booking:



If the customer purchases an extra, the property will receive a notification email.

To make an extra visible, remember to first create it in the Rooms & Rates>Extras menu and then enable it in the Online>Online Reception>Extras menu.


They will then be displayed in the online management module as in the following example:



2. WELCOME MESSAGE


Choose whether or not to include a welcome message in the online reservation form. You can choose one of the messages you created in the Settings>Templates menu (it must be created as a "Property Level" module), then enable it here:



If configured, it will be displayed in the Guest Page as shown in the following example:



3. FEEDBACK


Choose here whether or not to allow your customers to leave feedback after check-out:



If you wish to enable them, you can configure them in the Settings>Configurations>Feedbacks.

They will then be displayed in the Guest Page as in the following example:


4. CANCELLATIONS


Choose here whether guests can cancel their reservation themselves or whether they must contact you:



The option to cancel will be displayed in the form as shown below:



5. PRIVACY INFORMATION


Here's where you can add a link to your privacy policy:




If entered, it will be displayed in the page as shown in the following example, via a clickable link:



6. VOUCHER ACCESS


Define here whether your guests can view the voucher from the Guest Page or whether you prefer to hide it:


If you choose to make it accessible, it will be displayed as a clickable link as shown below:


7. REQUEST THE CUSTOMER'S SIGNATURE


Choose whether customers, after filling in their details, must also enter their electronic signature or not. You can also choose whether the signature is optional or mandatory to continue:




If enabled, the guest's signature will then be displayed on their Registration Card and will be requested in the Guest Page as in the following example:


8. INFORMATION REQUIRED FROM THE CUSTOMER


If you use the Pii package, you can choose to only ask guests for mandatory information for Pii reports during online check-in. You can also choose whether to hide optional fields or show them anyway, in case guests want to fill them in:


So, based on the PIIs you've activated and set up, ZaK will figure out what data is needed and mandatory for reporting.

Please note: If the Pii package is not enabled, all fields will be displayed during online check-in.


If you do NOT use the Pii package, you can select “Custom fields” and choose which data will be requested from the customer. In this case, you can also choose whether to hide or show optional fields:




9. GUEST PAGE EXPIRATION

In addition to all these options, you can also set an expiration date for the link to the Guest Page, making it inaccessible to the customer after a certain period of time:


Once expired, the guest page will appear as follows, giving you the option to create a new reservation:
