ZaK - HotelBeds channel

Before activating the channel, please read the following article, where preliminary operations and important warnings are explained:

To know before proceeding


  • The restrictions that ZaK updates for HotelBeds are: closure, no check-in/out, min/max stay, min advance, ota limit, availability modifier
  • HotelBeds contracts may have price and minimum stay limits. In case of an error due to this limit, the product will still be mapped. You will just find an error at section: Sales>Channels>Updates>Problems, so that you can contact HotelBeds to change/remove these limits.
  • If you have offline contracts, you will still find in ZaK their reservations. But please make sure that the room assigned by ZaK is correct.
  • For all HotelBeds reservations, ZaK always shows the amount net of commission.
  • In ZaK reservation detail you will not see the amount already paid on the OTA, but it will be shown in the "Channel Manager Info".
  • If in the "Channel Manager Info" you read "Liberate", it means that the guest has not paid and will pay at the property.
  • Cancellation policy: HotelBeds doesn't send policy details to ZaK, so it's not managed by ZaK.
  • Board: ZaK checks all the rooms in HotelBeds and chooses the "lower" board (e.g. room only is lower than breakfast). In rooms with the "higher" board, meals are added to the reservation as extras (e.g. breakfast).
  • HotelBeds doesn't send us the final price of the reservation, but ZaK has to calculate it (taking prices from Tabla).

How to configure HotelBeds?


Let's now see one by one what steps to follow in ZaK to add and configure HotelBeds.

1. Add the channel


First you need to add the channel by clicking on the +. Click on the link below and follow the instructions in the next steps:

2. Enter your credentials


After adding it, click on the Channel name (HotelBeds)  to get inside and configure it.

At the bottom of the page you will find a field to enter HotelBeds credentials (Property ID, User, Password). Once entered, click on "PROCEED":


! NOTE: The credentials you have to enter here are NOT the ones you use to log in to the extranet, but the specific HSI credentials for the XML connection.


You have two possibilities:

- to enter the HSI credentials immediately, so the channel will be unlocked and you can proceed with the configuration

- to enter only the Property ID, so that HotelBeds will send us an email with your user and password. We will enter them to unlock your channel. At this point you'll be able to proceed with the configuration in ZaK. (of course this procedure takes longer, so we recommend the first option)


Until the credentials are correctly entered and the channel is unlocked, you will see the following message:


3. Mapping rooms and rates


! Before mapping rooms and rates, if you have HotelBeds reservations you need to enter them manually in ZaK, so that your availability will be updated and you won't risk overbooking.

Once the channel is ready, in the "PRODUCTS" section you will find the rooms already created with HotelBeds, with the different contracts to sell them.

The sale on HotelBeds is initially closed for security reasons. You must now associate each HotelBeds room/contract with the specific Zak product/rate. The products in purple are the unmapped and closed products. As you associate them, they will turn blue, which means that they are on sale, managed by ZaK.

To associate a product, click on the white icon next to it:


Now choose the ZaK product and rate to be associated with that HotelBeds product/contract. Then by clicking on MAP, ZaK will start updating that room/contract: prices, restrictions and availability you've set on Tabla will be sent to HotelBeds.




NOTE: If you would like to sell your rooms for additional occupancy (1, 3, 4 pax etc.) please contact HotelBeds to set with them the occupancy for each room and the specific price variation.

At any time, you can quickly close the sale of the room with one click. For products that are already associated (blue), just click on the white icon with the red x. This will cancel the association and the HotelBeds room/contract will return to purple. You can re-join it at any time:


! ATTENTION: If you see the icon in transparency as in the following picture, it means that on HotelBeds side that product/contract is derived from another one. So you will have to map all the other products first (the ones not in transparency) and then you'll be able to map this one too.


4. End


At this point the connection between HotelBeds and ZaK will be completed and from now on ZaK will update prices, restrictions and availability.

FIT contracts


Please note that HotelBeds has BAR and FIT contracts. The BAR contracts can be managed by the Channel Manager, while the FIT contracts have a price already agreed with HotelBeds, which therefore cannot be updated by ZaK. So for FIT contracts ZaK will only update availability and restrictions.
